Refund Policy

This Refund Policy explains how refunds, cancellations, and project credits are handled for Melodex services. Because audio production is a custom, time-based creative service, refunds are evaluated based on the work stage, resources reserved, and deliverables already produced.

1. General Principle

Once production work begins, a portion of the project fee reflects non-recoverable time (creative direction, sound exploration, session setup, project management, and scheduling). For that reason, completed work and time already invested are typically non-refundable.

2. Deposits and Project Booking

If your project requires a deposit, that deposit secures production time and scheduling priority. Deposits are generally non-refundable once we have started work or reserved dedicated production slots. If you cancel before work starts and before scheduling resources are committed, we may refund the deposit at our discretion, minus any processing fees incurred.

3. Cancellation Before First Demo

If you cancel after the project has started but before the first demo is delivered, we may offer either: (a) a partial refund based on time spent, or (b) a project credit for future work. The exact amount depends on the stage reached (briefing, concept exploration, session preparation, sound palette building).

4. Cancellation After Demo Delivery

If a demo or draft has been delivered, the project has reached an active production stage. In most cases, refunds are not available. However, we may offer a partial project credit if the cancellation occurs immediately after demo delivery and before additional revisions or expansions, provided the request is reasonable and in good faith.

5. Revisions and Creative Dissatisfaction

Creative outcomes are subjective. We handle dissatisfaction through the revision process described in the project agreement. If you request changes that align with the approved direction, we will make reasonable efforts to address them within the included revision scope. Requests that significantly change direction or scope may require additional fees.

Refunds are not guaranteed due to “change of mind,” preference shifts after approvals, or new direction requests that contradict the originally accepted brief.

6. Delivery Issues and Technical Corrections

If deliverables are provided in the wrong format, contain export errors, or fail to match agreed specs, we will correct and redeliver at no additional cost. This is not considered a refund case; it is a fulfillment correction.

7. Late or Non-Responsive Projects

If a project is delayed because we did not receive required inputs, approvals, or feedback from you, refunds are not provided for timeline impacts caused by non-responsiveness. If a project is paused for an extended period, reactivation may require rescheduling. We can also convert the remaining balance into a credit for future work, depending on the situation and feasibility.

8. Chargebacks

We encourage you to contact us first before initiating a chargeback. Chargebacks create administrative overhead and may result in suspension of all deliverables, licenses, and future work until the dispute is resolved. If a chargeback is filed for a project with delivered work, we may provide documentation of scope, communications, and delivery.

9. Credits

If we issue a project credit, it is usually valid for a limited time and may be used toward future Melodex services. Credits are not redeemable for cash and typically cannot be transferred to third parties.

10. How to Request a Refund Review

To request a refund review, send a message with your project name, invoice/order reference, and a clear explanation of the issue. We may ask for additional details so we can evaluate the request fairly. We aim to respond within a reasonable time.
